All Africa Pension Summit 2025 – Official Terms and Conditions
1. Introduction
These Terms and Conditions govern participation in the All Africa Pension Summit 2025 (“Summit”), organised by the National Social Security Fund (NSSF) Uganda. By registering for, attending, or participating in the Summit, delegates and sponsors agree to comply fully with these Terms.
2. Event Details

3. Scope
These Terms apply to all participants, including:
- Individual delegates
- Group and organisational delegates
- Government officials and partners
- Sponsors and exhibitors
- Onsite and virtual attendees
4. Registration and Payment
- Registration is confirmed only upon receipt of full payment of the applicable participation fee.
- All payments must be made in Ugandan Shillings (UGX) or US Dollars (USD) via the official channels indicated below.
- Participants are responsible for any bank, mobile money, or currency conversion charges.
- Partial payments are acceptable only where pre-approved; entry badges will be issued only after full payment.
- Overpayments will be reconciled within 30 days of written notification. Overpayments below USD 10 (or equivalent) may not be refunded unless explicitly requested.
- Duplicate payments will be refunded in full (less bank charges) within 14 working days.
- All invoices are payable within the stipulated period and must be referenced correctly to the delegate or organisation.

- No cash payments shall be accepted on-site.
- The approved AAPS exchange rate is UGX 3,700 per USD 1.
5. Discounts
- Early Bird Discount:
- 16.7% discount applies to payments made before the communicated early bird deadline.
- No extensions are granted after the deadline lapses.
- Group Discounts:
- 3–5 delegates: 5% per delegate
- 6–10 delegates: 8% per delegate
- Above 10 delegates: 10% per delegate
- Must be paid as a single bulk transaction.
6. Refund and Cancellation Policy
6.1 Standard Refunds
- 75% refund for cancellations made more than 45 days before the Summit.
- 50% refund for cancellations made 30–45 days before the Summit.
- No refund for cancellations made less than 30 days before the Summit or for no-shows.
- Approved refunds will be processed within 21 working days and paid only to the account used for the original transaction.
6.2 Force Majeure
If the Summit is cancelled due to events beyond the Organiser’s control (e.g. natural disaster, pandemic, or civil unrest), delegates may:
- Defer their registration to the next Summit, or
- Receive a 90% refund, less transaction fees, upon request within 30 days of notification.
6.3 Delegate Substitution
- Replacement from the same organisation is allowed at no extra cost.
- Notification must be in writing at least five (5) working days before the event.
7. Failed and Disputed Transactions
- In cases where payment is deducted but not received:
- Delegate must provide proof of payment (bank slip or TID).
- Resolution shall occur within 7 working days.
AAPS will assist in liaising with the payment platform if the issue lies outside its systems. All disputes relating to payment errors must be raised within 30 days of the transaction.
8. Documentation and Eligibility
To qualify for refunds or financial adjustments, delegates must provide:
- Proof of payment
- Copy of registration
- Written and signed request from the payer
- Completed AAPS refund form
Refunds or discounts apply only to fully registered delegates who meet the eligibility criteria.
9. Programme and Event Modifications
The Organiser reserves the right to:
- Modify the agenda, sessions, or speakers without prior notice.
- Change the venue or format (physical, hybrid, or virtual).
- Postpone or cancel due to unforeseen circumstances.
If cancelled entirely, delegates will be refunded as per Clause 6.
10. Delegate Conduct and Code of Ethics
- Delegates must maintain professionalism and decorum at all times.
- Offensive, discriminatory, or disruptive conduct will result in removal from the Summit without refund.
- Smoking is prohibited in all indoor areas.
11. Data Protection and Privacy
- Personal and payment data are collected for event management, communication, and verification purposes.
- Data is processed under the Data Protection and Privacy Act Cap.97 Laws of Uganda and General Data Protection Regulation.
- No financial data is stored by AAPS; transactions are processed through secure, SSL-certified channels.
- Delegates may opt out of promotional communication at any time.
12. Photography and Media
- The Organiser may record or photograph the Summit.
- By attending, delegates consent to the use of their likeness in Summit materials, reports, or promotions.
- Delegates who object must notify the Organiser in writing prior to the event.
13. Sponsorship and Exhibition
- Sponsors and exhibitors must adhere to these Terms.
- Space allocation is on a first-paid basis.
- All sponsorship payments are subject to the same financial and refund provisions under Section 6.
- Exhibitors bear responsibility for the insurance and safety of their materials.
14. Liability and Disclaimer
- NSSF and AAPS shall not be liable for personal injury, property loss, or financial damage incurred during participation or travel.
- Delegates are responsible for their own insurance.
- Neither party shall be liable for indirect or consequential losses including loss of profit, goodwill, or data, whether arising from negligence or otherwise.
15. Dispute Resolution and Governance
- All financial and operational disputes shall be handled by the AAPS Finance team.
- Exceptions to these Terms require written approval from the Chief Financial Officer and notification to the Managing Director.
- Any unresolved disputes shall be referred to the courts of Uganda, which shall have exclusive jurisdiction.
16. Governing Law
These Terms and Conditions are governed by the laws of the Republic of Uganda.
Effective Date: These Terms come into effect immediately upon publication and apply to all registrations for the All Africa Pension Summit 2025.
